Today, the Executive Committee met to finalize the following Plan of Action with regard to the current state of emergency and how we should best position ourselves in supporting the recent levels of Federal and State mandates. We were ever-mindful for our Resort and our affiliated companies to be responsible to our profession in the service providing sector, as well as being conscience of our responsibilities to our property owners.

It is in the spirit of our partnership that I share with you, initiatives being implemented throughout our departments. Please note that some have new operating hours and or procedural changes to assist us in being a community leader by example to minimize personal contact and to do our part in deterring the spread of the virus through distancing.  

It is important for each of you to know that the current plan of action is subject to change without notice. We are committed to keep you informed at the earliest possible time. Thank you in advance for your participation in the procedural changes.

General to All Departments

·       Owners guests and patrons to be encouraged to make appointments with any Palm Island manager in advance. Encouraged to refrain from “dropping by”

·    Encourage owners, guests and patrons from conversing socially with our employees while they perform their job duties and to utilize the “call by appointment” to the appropriate department head should they have a concern.

·       Departments servicing owners and/or associations with a service agreement in place, will maintain the performance of that service agreement to the best of their ability. Subject to change if available employees are unable to continue their daily work. This may be subject to but not limited to illnesses, school schedules, day care availability and/or the health of their family. A Families First Coronavirus Act is now before the Senate for consideration/approval.

·       All employees are being screened by their manager/supervisor on a daily basis and prior to commencing their scheduled shift.

·       Reasonable accommodation will not be denied should any employee feels more secure by wearing protective gloves and/or masks

·       Employees are required to wash their hands often.

·       Hand sanitizing stations have been ordered and will be placed inside front doors of public buildings, upon delivery

·       All employees have been notified to stay home from scheduled work if they are or have symptoms of being ill

 

Guest Services/Front Desk

·  Guest Services Manager will be working from her home, yet available by appointment. This is possible because her essential function may be efficiently performed through the use of today’s technology. In this manner, the Guest Services Manager will stay on task and remain productive at home as we navigate through this time.

·       Front Desk may have reduced scheduling of staff

·       Bell Services will have reduced scheduling of staff

·   Reception Building will close nightly at 8:00 pm. Extended weekend hours are suspended.

Home Care

·       Expanded cleaning measures have been initiated.

·       Daily sanitizing of restrooms and public areas.

·  Will continue to explore expanded sanitizing opportunities that can be implemented

Gift Store

·      Closed 2 days a week TBD

·      Open from 1 pm to 5 pm daily, except  the 2 days per week it is closed

·      Coconuts to service guest Store requests on closed days and closed hours

·      Limit guests inside the Gift Store to 4 at any one time.

Coconuts

·      Open Daily, 12 Noon to 6 pm

·      Limit guests inside Coconuts to 5 at any one time.

·      Morning breakfast sandwiches, donuts and morning coffee service is suspended

·      Ice Cream service is suspended

·      Staff presence outside for Golf Cart returns from 9 am to 11 am daily and golf cart pick up from 3 pm to 5 pm daily

Rum Bay Restaurant

·      Open daily from 12 Noon to 8:30 pm

·      Seating to conform with the 6′ distancing mandate

·      Staggered seating of every other table to be empty (50% seating capacity)

·      We encourage Take-Out orders and we provide Delivery to units/home within the Resort

·      Resort owners and guests are suspended from using the water taxi to go over to Leverocks. They are very welcome to drive over to Leverocks and they only need a Leverocks receipt with valid date to have passage on the car ferry to return to Palm Island Resort.

·      Easter to be a plated menu and not a buffet

·      Large parties of 10 or more are to sit at split tables

·      Spray tables and chairs with Lysol

·      Spray the front door/handle hourly with Lysol

Water Taxi

·      First taxi at 12:30 pm and last to leave Rum Bay at 7:30 pm

·      Resort owners and guests are suspended from using the water taxi to go over to Leverocks. They are very welcome to drive over to Leverocks and they only need a Leverocks receipt with valid date to have passage on the car ferry to return to Palm Island Resort.

Leverocks Restaurant

·      Open daily from 12 Noon to 8 pm

·      Seating to conform with the 6′ distancing mandate

·      Staggered seating of every other table to be empty (50% seating capacity)

·      Encourage Curb-Side Take Out.

·      One parking space will be designated for Curb-Side Orders/Pick-Up

·      Ask about our Curb Side Menu

·      Large parties of 10 or more are to sit at split tables

·      Spray tables and chairs with Lysol

·      Spray the front door/handle hourly with Lysol

Hospitality/Activities

·      Cancellation of the Beach BBQ

·      Limit all fitness activities to 8 people, only

·      The fitness room is closed until further notice

·      Tennis activities are limited to groups of 8 people, only

·      All Red Beard’s events are suspended

·      Water aerobics is suspended

Sales & Marketing

·      Postpone the Habitat for Humanity program

·      Church Service on Sunday at the Clubhouse is suspended

·      County Councilmen Bill Truex on April 6th is postponed

Palm Island Properties

·      Work from home, on-island by appointment only.

Association Management

·      Work from home, on-island by appointment only. This is possible because her essential function may be efficiently performed through the use of today’s technology. In this manner, the Association Manager will stay on task and remain productive at home as we navigate through this time.

·      Coordinate all upcoming association meetings to be “call-in” only or to be postponed to a further date yet to be determined

 Maintenance Department

·      Non-essential contractors and non-essential outside services will not be permitted access as of Monday March 23rd, 2020

·     All essential contractors and essential outside services will be greeted outside of the maintenance office, a log of licensed plate numbers will be maintained, and maintenance will not be extending placards in an overall effort to reduce social contact

·     Maintenance meetings by appointment only

·    Encourage owners, guests and patrons from conversing socially with our employees while they perform tasks and utilize the “call by appointment” to the appropriate department head.

·  Departments servicing owners and/or associations with a service agreement in place, will maintain the performance of that service agreement to the best of their ability. Subject to change if available employees are unable to continue their daily work. This may be subject to but not limited to illnesses, school schedules, day care availability and/or the health of their family

Landscaping Department

·      Owners guests and patrons to be encouraged to make appointments with any Palm Island manager in advance. Encouraged to refrain from “dropping by”

·      Encourage owners, guests and patrons from conversing socially with our employees while they perform tasks and utilize the “call by appointment” to the appropriate department head.

·      Departments servicing owners and/or associations with a service agreement in place, will maintain the performance of that service agreement to the best of their ability. Subject to change if available employees are unable to continue their daily work. This may be subject to but not limited to illnesses, school schedules, day care availability and/or the health of their family.

Resort Patrol

·      Mid Island staffing to perform roving function throughout the resort whenever possible and based on the level of mid-island activity

·      Owners guests and patrons to be encouraged to make appointments with any Palm Island manager in advance. Encouraged to refrain from “dropping by”

·    Encourage owners, guests and patrons from conversing socially with our employees while they perform tasks and utilize the “call by appointment” to the appropriate department head.

·      Departments servicing owners and/or associations with a service agreement in place, will maintain the performance of that service agreement to the best of their ability. Subject to change if available employees are unable to continue their daily work. This may be subject to but not limited to illnesses, school schedules, day care availability and/or the health of their family.

Transit Department

·      All rangers to wear protective gloves

·      Issuing of orange barge cards by the ranger is suspended

·      Issuing of all transit passes from the transit office to be by appointment only

·      Transit office to encourage forms to be completed before the appointment. The forms are for patrons requesting new or renewal of barge pass booklets
